Sample Follow Up Services (SFS) Introduction and Quotation
(1) Client (Importer) authorizes CQI
client (Importer) authorizes CQI to provide sample follow-up (SFS) service;
The client notifies the factory or supplier to courier the samples to CQI’s office.
(2) The importer and the factory reach a preliminary cooperation intention
CQI’s SFS service is to follow up the production of samples after the importer and the factory reach a preliminary cooperation intention.
(3) What does the SFS service include ?
- The SFS service is where CQI staff will follow up with the factory by phone and email during the pre-production, mid-production and post-production stages of the samples and report the progress of the samples to the client by email.
- The SFS service helps to keep the client informed of the progress of the sample development and to solve any problems.
- After the factory has completed the production of samples, samples are sent to CQI’s Xiamen office for general product appearance inspection. CQI will inform the client immediately,
- If the client wants the factory to re-sample, we will contact the factory to follow up.
- If the client finds such cosmetic issues acceptable, CQI will arrange for a follow-up cross-border mailing of samples to the client.
- Based on the client’s mail sample request and CQI’s general requirements, CQI’s staff will repackage the client’s samples and send them to the foreign importer’s office address via cross-border courier to save cross-border courier fees.

(5) SFS Quotation
SFS service follows the client’s sample development project at the factory and is responsible for the progress of the sample development process;
After receiving the samples from the factory, SFS will check the appearance of the samples;
The communication with the client and the factory is based on the sample package sent by the factory;
The quotation for SFS service is based on the factory and the package of samples;

(6) Basic information about the samples from the factory
The factory is required to provide basic information about the samples, such as, client name, order number, supplier name, product name, which is the key information of CQI SI service and will be entered into CQI’s system and can be easily traced by all parties;
(7) Domestic Courier
If the supplier requires the samples to be sent back to the factory after sample inspection, CQI’s staff will arrange for the samples to be sent by collect mail;
(8) International Courier
CQI’s SFS staff will package and mail the samples to foreign countries on behalf of clients. According to the latest international courier requirements, the majority of international courier shipments require payment by the sender.
(9) Sample Retention 3 Months
During the sample follow-up service SFS, CQI is responsible for retaining samples that have not been arranged to be sent abroad, if the supplier or factory does not request the samples to be sent back, for a period of 3 months, after which time CQI will clean and destroy them to protect the rights of all parties.
(10) Disclaimer CQI’s sample follow up service (SFS)
The SFS service is for clients in China only and is similar to office clerical services, where samples are checked for appearance based on basic consumer perceptions of product appearance. This service does not involve the interests of the parties involved in the transaction and cannot be used as evidence in litigation by the interested parties;
Due to the epidemic and the delivery time of the courier, CQI will only check the appearance of the samples received, and if the samples are found to be defective in appearance, it is only for the reference of the client and has no bearing on the conclusion of the transaction between the parties.
Note: Here “client” refers to the importer, “factory” refers to the supplier who supplies to the importer.
